If you've perfected your products and your home bakery is legally set to operate, it might be time to choose a reliable ordering system that ensures smooth customer transactions and keeps your bakery business organized and efficient.
I believe having a solid system in place for managing your orders efficiently will help you reduce stress, prevent mistakes, and streamline your workflow, and at the same time it will help you maintain professionalism and improve customer satisfaction.
This is why having a centralized system-where orders are easy to track and payments are secure-is really non-negotiable if you want your bakery to thrive.

Order and Payment Platforms
This is my favorite option for home bakers because it offers an all-in-one solution with built-in payment processing, order tracking, customer communication, and more. Platforms like Hotplate (which I use and recommend) and Bakesy are specifically designed for bakers and chefs.
These platforms allow you to:
- Accept and process payments seamlessly (no chasing customers down).
- Send order confirmations and SMS notifications automatically.
- Offer discount codes and promotions.
- Track orders and generate business insights.
Important Note
All platforms charge a 3% card processing fee (same as Venmo, Paypal, etc, it's unavoidable).
They will also charge a convenience fee. You can either absorb this cost by building it into your pricing or you can split this cost with your customer or pass it 100% down to them.
These small fees are worth it for the convenience and organization these platforms provide and customers are used to paying these types of fees when purchasing online or from other merchants.

Online Forms (Google Forms, Jotform, Typeform)
If you're on a tight budget or just starting out, using online forms can be a simple and low-cost option. You can create a custom order form that customers fill out and submit. These forms are easy to set up, but there are a few limitations you'll need to consider.
Pros:
- Free or low-cost options.
- Customizable order fields (e.g., pickup date, quantity, special requests).
- Simple and user-friendly.
Cons:
- Payment processing might not be integrated, so you may need to use a separate payment service (like Venmo, PayPal, or bank transfers) and follow up with customers which is a bit of a nuisance.
- No built-in SMS notifications or automatic confirmations, which limits your marketing abilities and could result in delayed responses to customers.
- Lack of advanced features like analytics, promotional tools, or order tracking.
If you use online forms, be sure to set up a system for manually tracking orders and sending confirmations promptly to avoid any missed communication.

Other Methods of Accepting Orders (Not Recommended)
While you might be tempted to start small and accept orders through text messages, calls, emails, social media inboxes, or comments, I strongly advise against it. Here's why:
Problems You'll Face:
- Orders can get lost among other messages, creating confusion.
- It's time-consuming to manually track each order and respond individually.
- It can lead to errors like missed or duplicated orders, which frustrates customers.
- Chasing down payments becomes a constant hassle.
If you're currently using one of these methods, make it a priority to transition to a more reliable ordering system as soon as possible. An overwhelmed baker is a stressed baker-and that can impact the quality of your product and the overall success of your bakery.

Key Considerations When Choosing an Ordering System
When deciding which method to use, consider these factors:
- Your Budget: Platforms like Hotplate charge small fees, while forms like Google Forms are free but lack automation features.
- Customer Experience: Choose a system that makes ordering simple and seamless for your customers. The easier it is for them, the more likely they'll order again.
- Payment Security: Ensure that payments are processed securely to protect both you and your customers.
- Scalability: As your bakery grows, will the system you're using still be able to handle the volume of orders efficiently?
Start with a solution that works for your current budget and scale up as your business grows.
The key is to find a system that keeps both you and your customers happy, so you can focus on what you love-making amazing bread and bakes!
